Privacy Policy

Anubid Agency ("we", "our", "us") is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights regarding your personal data.

1. Information We Collect

We collect the following types of information:

a) When you send a quick message (contact form)

• Name
• Email address
• Message content
• Timestamp of submission

This information is stored in our secure database and emailed to our support inbox so we can reply to you.

b) When you create or sign in to an account

We use Google and Apple sign-in for authentication. When you sign in, we receive from those providers:

• Your name (as set on your Google/Apple account)
• Email address
• Profile picture URL (if provided)
• A unique account identifier issued by Firebase

We do not receive or store your Google or Apple password. Authentication is handled entirely by the provider.

c) When you submit a project request

Signed-in users can submit a project brief. We collect:

• Business type (e.g. "Restaurant", "Retail")
• Project description written by you
• One PDF file (up to 2 MB) — typically your brief or requirements document
• Up to five image files — references, logos, or inspiration
• Approximate location — latitude and longitude, either detected from your browser (with your permission) or entered manually
• Submission timestamp and the account it was submitted from

Uploaded files are stored securely on Cloudinary (a file-hosting service) and are automatically scanned for malware by Cloudmersive before being accepted. Submissions that fail the scan are rejected and are not stored.

d) Automatically collected information

• Cookie preferences — your accept/reject choice stored locally in your browser
• Basic session data — held in your browser's session storage while you are signed in

We do not run third-party advertising trackers or analytics scripts on this website at this time.

e) Email we send you

If you create an account, we will send you:

• A one-time welcome email confirming your account was created
• Occasional blog digest emails (up to three times per week) listing new articles published on our blog
• Direct replies to messages or project requests you send us

You can ask to be removed from the blog digest at any time by replying to any email or contacting support@anubid.site.

2. How We Use Your Information

• Provide and improve our website design services
• Reply to your inquiries and project requests
• Prepare quotes and process project orders
• Send account-related emails (welcome, blog digests, replies)
• Screen uploaded files for security threats
• Improve website functionality and user experience
• Ensure compliance with legal obligations

3. Third-Party Services We Use

To run the site, we rely on the following processors. Each handles a specific piece of data on our behalf:

4. Legal Basis for Processing

• Consent: You provide explicit consent when you submit a form, sign in, or accept cookies
• Contract: Processing is necessary to provide the services you've requested
• Legitimate Interests: Improving our services and website security
• Legal Obligations: Compliance with applicable laws and regulations

5. Data Security

• SSL/HTTPS encryption for all data transmission
• Secure server hosting with regular backups
• Two-factor access controls on internal admin tools
• Automatic malware scanning of all uploaded files
• Firebase Authentication for sign-in (we never see your Google/Apple password)

6. Data Retention

• Contact messages: 2 years after last interaction
• Account data: Until you request deletion
• Project submissions: Until you request deletion, or 5 years for legal record-keeping
• Cookie preference: Stored in your browser until you clear it

7. Your Rights

You have the following rights regarding your personal data:

• Right of Access: Request a copy of your data
• Right to Rectification: Correct inaccurate data
• Right to Erasure: Request deletion of your account and submissions
• Right to Restrict Processing: Limit how we use your data

Cookie Consent: When you first visit our website, you will see a cookie banner. You can accept or reject non-essential preferences. Essential cookies and browser storage required for sign-in and form submission are set regardless of your choice.

Our services are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with their data, please contact us for immediate removal.

10. Third-Party Links

Our website may contain links to third-party websites (for example, client websites in our portfolio). We are not responsible for the privacy practices of those sites. Please review their privacy policies before providing any personal information.

11. International Data Transfers

Some of our service providers (Google/Firebase, Cloudflare, Cloudinary, Resend) may store or process data on servers outside Uganda, including in the United States and the European Union. By using our services, you consent to these transfers, which are covered by each provider's standard data protection agreements.

1. Acceptance of Terms

By accessing and using the Anubid Agency website and services, you agree to be bound by these Terms of Service. If you do not agree to these terms, please refrain from using our services.

2. Description of Services

• Website hosting and maintenance
• Website redesign and enhancement
• Domain registration and management
• SSL certificate installation
• Email setup and management

3. Account Terms

• You may create an account using Google or Apple sign-in
• You are responsible for the security of your Google or Apple account
• You must be at least 16 years old to create an account
• One person may not maintain multiple accounts to abuse our submission system
• We may suspend or delete accounts that violate these terms

4. Project Submissions

• Project requests must be submitted by a signed-in account holder
• Uploaded files are limited to one PDF (max 2 MB) and up to five images per submission
• All uploads are scanned for malware; flagged files cause the submission to be rejected
• You confirm you have the right to share any files you upload
• Submissions do not create a contract until we issue a written quote and you accept it

5. Payment Terms

• Starter Plan: 200,000 UGX — 50% upfront, 50% on completion
• Business Plan: 350,000 UGX — 50% upfront, 50% on completion
• Premium Plan: 500,000 UGX — 50% upfront, 50% on completion
• Enterprise Plan: 700,000+ UGX — negotiable
• Flexible Payment: 24% upfront + 5% monthly for qualified clients
• All payments are non-refundable once work has commenced
• Late payments may incur additional fees

6. Project Timeline and Deliverables

• Delivering projects within agreed timelines
• Providing clear milestones and deliverables
• Conducting revisions as outlined in project scope
• Maintaining clear communication throughout the project
• Providing documentation and training upon completion

7. Intellectual Property

Upon full payment:

• You own the final website design and code
• We retain rights to our development framework and tools
• We may showcase your project in our portfolio (with permission)
• Any provided logos, images, and content remain your property

8. User Responsibilities

• Provide accurate and complete information
• Maintain the security of your account credentials
• Use our services for lawful purposes only
• Not upload malicious files or attempt to breach website security
• Not infringe on intellectual property rights
• Comply with all applicable laws and regulations

9. Limitation of Liability

Anubid Agency is not liable for:

• Indirect, incidental, or consequential damages
• Loss of data, profits, or business opportunities
• Website downtime caused by hosting or third-party provider issues
• Third-party content or services
• Technical failures beyond our control

10. Modifications to Terms

We reserve the right to modify these terms at any time. Changes will be:

• Posted on this page with an updated effective date
• Communicated by email to registered users for material changes
• Effective immediately upon posting
• Your continued use constitutes acceptance of modified terms

11. Termination

We may terminate or suspend access to our services for:

• Violation of these terms
• Fraudulent or unlawful activity
• Non-payment for services rendered
• Abusive behavior toward our team

12. Governing Law

These terms are governed by the laws of Uganda. Any disputes shall be resolved in the courts of Kampala, Uganda.
